What I Handle

Here's what I do to help new agents get started:

  • Set up their Moxi website
  • Upload their headshot, bio, contact info, etc.
  • Create Intero Design Studio
  • Send them examples of non-listing specific marketing

Step One: Brief Summary

The first thing I do is let the Agent know what this meeting is for, what we will be going over and what to expect. 

  • "Today we will be going over xyz..."
  • "This meeting shouldn't take us more than an hour..."
  • "We offer a lot of tools and services, so I don't expect you to memorize this. This is just to showcase what is available to you. I will follow up with you after our meeting and be available if you have any questions."
  • "I will be pausing periodically to check in, but feel free to let me know if you have any questions."
  • "My hours are..."

Folder

Before diving into the presentation, I prepare a folder for the agent with the following materials:

  • New Agent Checklist 
  • New Agent Information
  • Marketing/Assistance Menu*
  • Tech Tools Summary
  • Best of Breed flyer 
  • At least 2 examples of flyers 
  • My business card

This folder is theirs to take home, so I tell them to take notes on it if needed. I send these materials during my follow up too, so they don't have to worry if they lose anything.


**Note: your materials may vary from mine since we are in different offices. Ask your manager about the new agent checklist & information, and create your own examples to reflect the work you do in your office.

Extra Points To Note Before Diving In

Extra details I give to the agent after going over staff services & assistance:

  • Tech packages: complimentary vs. Best of Breed
  • How long they have the tech package complimentary*
  • Printing & binding fees and procedures*
  • Boundaries: when they should submit requests to ensure they get done on time, which days you are busiest, include whether or not the requst is urgent, etc.


**Your office's printing fees & complimentary periods may differ from mine! Check in with your manager first.

Step Two: Presentation 

For onboarding, I reserve a conference room and present my HighNote on the screen. I go through each slide (maximum 5 minutes per slide). I usually stop to ask if they have questions after going over our services and the "big" tools: Moxi, ActivePipe, BuySide, or after every 2-3 slides.

Step Three: Finishing Up

After I finish going over all the tools, I ask one more time if they have any final questions, and remind them that I will be sending them all this information when I follow up. 


Before going our separate ways, I let the person know I will need:

  • Headshot and Bio
  • GoDaddy domain & login information (if they have it)
  • Access to their Moxi account

I also let them know that they are able to start requesting marketing materials as soon as they feel ("you can actually start asking me for stuff today!").

Step Four: Follow-Up

After the meeting, I have an email template that I copy/paste and update with the agent's name.


In this email, I include:

  • What I recommend the agent to start with
  • Additional information I need from them
  • An agent onboarding follow-up HighNote (take a look here) which includes the materials I include in their folder and information I need from them.
  • "New Agent" marketing materials ("I've Joined Intero!")
  • A link to the HighNote we went over in person

Step Five: Business Cards, Name Badge & Manager Meeting

From here, the agent is probably going to ask you about ordering business cards and a name badge. For the business cards, I ask the person if they want their headshot included. If so, we will have to wait until they get theirs in, or have a professional, high quality photo they have already. A headshot is not required, but it looks good! I also ask if they plan on buying a custom domain for the website, and if so, I recommend waiting until the domain transfer settings are complete.


After they meet with us, they're most likely going to be meeting with your manager to go over business planning, best practices, what to do next, etc.

MIT Homework ☺

I recommend you all create the following:

  • New agent materials ("I've Joined Intero!") flyer & ActivePipe email template
  • New agent checklist & information*
  • Follow-up HighNote*

You can use my "Intro to Tech" HighNote since it took a long to create so you all won't have to make your own, but since every office operates a little differently, you may want to create the other materials for your office. For example, I may explain something differently or design a template in my own style, so you want to have materials that reflect the kind of work that you do in your office. Set the expectations!
